Protecting Personal Information
From handling many kinds of Personal Information in the course of business, WILLTEC Co., Ltd. (hereinafter referred to as "WILLTEC Co., Ltd.") recognizes that to protecting Personal Information is important social responsibility, and is essential to promote business activities by obtaining the trust of society.

Based on this principle, the Personal Information Protection Management System has been established for compliance with laws and regulations on Personal Information, and "Personal Information Protection Policy" has been established as follows.

Officers and employees (hereinafter referred to as employees) are required to properly handle and thoroughly manage Personal Information by complying with this management system.

Personal Information Protection Policies
1. Collection of Personal Information
In the case of acquisition of Personal Information, the purpose of use is disclosed to the Principal in advance, or expressly defined in writing each time, by lawful and fair means.

2. Use of Personal Information
Concerning the use of Personal Information, the use is within the scope of the Purpose of Use notified, publicized, or consented in advance to the principal and is not allowed to be used for purposes other than those purposes. (provided, however, that, in cases where there is no exceptional need to obtain the consent of a principal under the Personal Information Protection Act, use may be conducted for a purpose other than those clarified in advance by a notice.

3. Providing Personal Information
We shall not provide Personal Information to a third party without obtaining a principal's consent.

4. Measures to ensure the safe management of Personal Information
In order to ensure the accuracy and safety of Personal Information, personal data shall be kept accurate and up to date within the scope necessary to achieve a utilization purpose, and when such data has become unnecessary to be used, such personal data shall be deleted without delay. It is also capable of implementing preventive measures against the unauthorized access to Personal Information, leakage, loss, or damage of Personal Information, and promptly implementing corrective measures in the event of a problem.

5. Supervision of Workers and Entrusted Parties
In order to ensure the safe management of Personal Information, we shall conduct for the necessary and appropriate supervision of employees, and periodically proper education. In cases of entrusting the processing of Personal Information to the third party, necessary and appropriate supervision shall be conducted for the entrusted party to ensure the safety management by selecting a business operator who is recognized to satisfy a sufficient level of protection for Personal Information.

6. Personal Information Disclosure
In cases where a principal makes a request for disclosure (notice, disclosure, correction, suspension of use, deletion) of Personal Information held by that principal, a principal will be able to provide retained personal information and take other appropriate measures in consideration of the convenience of the principal in order to enable a principal to make a demand for disclosure easily and appropriately (Excluding the case where disclosure may be refused regarding disclosure).

7. Response to Complaints
We shall, in cases where a principal has received complaints or consultations from the principal about the handling of Personal Information, deal with them appropriately and promptly and endeavor to establish a system necessary to deal with them.

8. Continuous Improvements
We are to comply relevant laws, regulations and other norms, regularly review their efforts for the protection of Personal Information in response to changes in the social environment, and strive to continuously improve and improve their Personal Information protection management system.

Management of Personal Information
We have stipulated the handling of Personal Information as follows in accordance with the Act on the Protection of Personal Information. Please confirm the details and provide them with consent.

In cases where the Personal Information stated in a document (including a website) is directly acquired from a principal, the purpose of use is clearly indicated in such document. If Personal Information (including information that can identify a specific individual, such as photographs, videos or pictures) is otherwise acquired, it is to be handled within the following scope of use:

1. Voluntariness of Provision
When we request a principal to provide him/her with Personal Information, the provision of Personal Information from him/her to him may be voluntarily. When the information cannot be provided, it may be impossible to respond to the requests.

2. Intended use of Personal Information
The purpose of use of Personal Information that one acquires is as follows:

In cases where a utilization is made for a purpose other than the above, it is clearly indicated in advance at the time of the acquisition of Personal Information.

3. Regarding the provision of Personal Information to a third party We may appropriately manage the provided Personal Information and provide it to a third party only when prior consent of the principal is obtained. In cases falling under any of the following, the provision of the information is allowed to a third party without obtaining the principal's consent in advance:

  1. In cases pursuant to laws and regulations
  2. When it is difficult to obtain a principal's consent for the protection of human life, body or property
  3. When it is especially necessary for improving public hygiene or promoting sound upbringing of children, and it is difficult to obtain a principal's consent
  4. When the cooperation required for the execution of the affairs of the national government organs, local governments, or a person entrusted by them is necessary for the execution of the affairs provided for by laws and regulations and there is a risk of hindering the execution of the affairs

4. Shared use of Personal Information
In order to provide each company's service in Willtec group companies, we are permitted to jointly use the Personal Information provided with it as follows: It may be directed to review the handling of shared use as needed in the future.

    The Personal Information held by each Company shall be acquired in writing, via an electronic medium, etc.

5. Dealing Inquiries on Personal Information

  1. procedures related to notifications of the Purpose of Use, and notifications, corrections, Suspension of Use, and Deletions of Personal Information;
    Requesting a request at the Personal Information Consultation Center such as "notification of the Purpose of Use", "correction", "suspension of use", "deletion", and "suspension of provision to a third party". A written application shall be sent thereto.
    In filing the application, a written application in which necessary matters have been completed and a document of identification confirmation of the applicant's designation shall be required. In the case of an application by an agent, the Document Confirming the Agent is also required. Details shall be consulted with the Personal Information Consultation Center. The applicant shall have the applicant confirm submitted documents and identification as a principal before dealing the inquiry. If the application does not apply, the notary shall promptly notify the applicant of the reason.
  2. Fees and Methods of Payment
    A principal shall pay the fee only in cases where "disclosure" of Personal Information held by him/her. Confirm the concrete amount, payment method with regard to the guide.

Inquiries concerning Personal Information of our contractor will be accepted at the following counter. A necessary document or response to a request for an inquiry may be made based on the content of the inquiry.

6. Measures Taken for Safety Management
We takes necessary and appropriate security control measures for the management of personal data based on their rules.

  1. Systematic security control measures

7. The handling of Personal Information by a foreign entrusted party
We entrust part of the services to the WILLTEC VIETNAM Co., Ltd. of Vietnam State, and WILLTEC MYANMAR Co., Ltd. of Myanmar State, which is their 100 percent subsidiary company (hereinafter referred to as "foreign entrusted parties"), and are permitted to access Personal Information only to the extent required for said entrusted duties. Further, measures which the company takes to entrust a foreign entrusted party with the handling of Personal Information are as follows.

  1. Method of providing Personal Information to a foreign entrusted parties
    The Commissioning Entrustment Agreement is concluded between us and foreign entrusted parties and Personal Information is provided according to the agreement.
  2. Measures implemented by the Foreign Entrusted Party;
    In an entrustment agreement, foreign entrusted parties is provided that it will handle personal data within the limits of the specified purpose of use and that it will take necessary and appropriate security control measures, etc. The details of said measures shall be consulted with the Personal Information Consultation Center.

8. Depositing Personal Information when entrusting business activities
Purpose is required to deposit the Personal Information it has provided with WillHearts Co., Ltd. which is its corporate group company, for the purpose of sending company magazines, providing welfare information and printing name cards. In this case, we and WillHearts Co., Ltd. are obliged under their contracts to implement safety control measures and supervise the handling of Personal Information in a proper manner.
